Start a corporate match for employee donations
If your company has a corporate matching program, great! Remind employees they can donate to Susie’s Place and you’ll match their donations according to your policies and internal processes.
If you don’t have a corporate matching program, we can help. The easiest way is to update your handbook to include policies for what is and isn’t included, then establish an internal process for handling donation receipts by employees for matching each month or quarter.
Eligible full-time and part-time employees may request a company match for personal donations made to qualified nonprofit organizations. The company will match donations dollar-for-dollar, up to $1,000 per employee per calendar year.
To request a match, employees must submit proof of their donation and complete the matching gift request form within 90 days of the contribution. Eligible organizations must be registered 501(c)(3) nonprofits in good standing. The company reserves the right to decline matches to organizations that do not align with our values or mission.
Your company HR or financial department may use a process similar to the following:
- Employees must complete the Matching Gift Request Form (Word template) and attach a donation receipt or confirmation.
- Requests must be submitted within 90 days of the original donation.
- All documentation must include the nonprofit’s name, donation amount, date, and proof of 501(c)(3) status.
- HR/CSR verifies donation documentation and nonprofit eligibility.
- Finance confirms budget availability for the requested match.
- HR/CSR sends an approval or denial notice to the employee within 10 business days.
- Finance processes the matching donation to the nonprofit organization within 30 days.
- Maintain a log of all submitted, approved, and denied requests.
- HR/CSR will compile an annual report summarizing total matched donations and participation rates.

The work we do at Susie’s Place is vital for our communities. It’s not splashy like sponsoring a theatre or sports team. By necessity, our work is much more private and sensitive. Still, we provide valuable opportunities to reach people in West-Central Indiana.
